HVAC service call pricing: diagnostic fees, flat rate and repairs

HVAC pricing has two jobs: cover the cost of getting a licensed tech to the door, and make the repair decision easy for a homeowner who is hot, cold or worried.
Charge for the diagnostic, and say why
A diagnostic fee pays for the drive, the tech's time and the expertise to find the fault. Waiving it invites price-shoppers and free second opinions.
Explain the fee when the call is booked, state whether it is applied toward the repair, and put the number in writing before the truck rolls.
Build a flat-rate book instead of quoting hourly
Flat-rate pricing gives the homeowner a number before work starts and protects you when a job runs long. Build each task price from average labor time, part cost with markup, and a share of overhead.
Review the book twice a year against actual times, and reprice any task where your techs consistently beat or blow the estimate.
Price after-hours honestly
Nights, weekends and holidays cost more because your labor costs more. Publish the premium rather than surprising people at midnight — a stated after-hours rate reads as professional, an unexplained one reads as gouging.
Present repair vs. replace as options
On aging equipment, give three written options: repair now, repair with a recommended companion fix, or replace. Include efficiency and expected remaining life. Customers who see options buy more often than customers who get a single number.
Sell maintenance agreements at the invoice
The best moment to sell a maintenance plan is right after you fixed the problem. Plans smooth out your slow seasons, and plan members call you first instead of searching.
